You must be a team player, willing to work, and give 100% effort every day.
You will be working directly with the President of the company.
You will be required to work in a fast-paced and busy environment focused on completing tasks efficiently and correctly every time.

The work environment is very busy every day.
You will be required to jump from task to task to accomplish all items that need to be completed in a day.
The Executive Assistant will be responsible for preparing job proposals, job tracking, CEO's email management, scheduling meetings and coordinating phone calls, communicating effectively with the CEO to relay daily activities in office and with ongoing projects, and effectively managing and communicating with customers.
The ideal candidate will have excellent communication skills, be able to prioritize tasks, have exceptional attention to detail, and be customer service-oriented.
We are seeking someone with prior experience in construction, home services, or property management industries.
Responsibilities:
Close Partnership:
Work closely with the founder, be immersed in their world, and be an indispensable ally in their entrepreneurial journey.
Provide administrative support to the CEO, including preparing and typing all job proposals (high-volume) for CEO and Regional Director.
Wear multiple hats - from customer service, project management, office management, production, purchasing & estimating.
Communicate with internal and external senior executives, project managers, existing customers (including high-level executives), potential clients, consultants, contractors, property managers, maintenance staff, and City officials professionally at all times.
Organize and manage the CEO's daily activities, incluidng job tracking and follow ups.
Type professional emails and letters as needed.
Track all jobs CEO is involved in and maintain follow-up with customers and CEO.
Handle incoming calls and emails from clients and project managers.
Coordinate project start dates with regional managers, property managers, and internal project management teams.
Communicate with project managers and CEO constantly throughout day.
Plan out and help coordinate the completion of projects for different departments in the company.
Complete Phone Calls & Emails needing completed by CEO and provide feedback Complete Misc.
Daily Tasks from emails to phone from contractors and customers and calls You would have to have an open mind to take on new projects, as they come up with the main goal of assisting in order to help move the business forward towards its goals.
Education and/or Work Experience Requirements:
Minimum 3-5 Years as an Executive Assistant 2-3 Years Prior Experience in Construction, Home Services or Property Management.
Strong proficiency in Microsoft Office Suite:
Word, Excel, and PowerPoint.
Excellent observation and communication skills, allowing you to anticipate needs and understand instructions without constant guidance.
Exceptional organizational and time management abilities enable you to juggle multiple tasks and priorities easily.
Flexible and Adaptable to jump in and out of different topics and projects daily.
Good attitude & willingness to work within a team for a common goal Strong Work Ethic Strong mindset to tackle tasks at hand Strong Communication Skills that are adaptable to each person Continuous Learner Strong Time Management Skills.
Adaptable and a willingness to learn new work and concepts.
President works hands-on in many departments and will need you to follow behind and keep up with what is going on to help be a solid support system.
